Why does my printer say offline even though it is turned on?

The five most common reasons are: the printer lost its Wi-Fi connection (restart both printer and router), a print job is stuck in the queue (clear all jobs from the print queue), the wrong printer is set as default (check Settings, Printers and Scanners on Windows), the printer is in forced offline mode (right-click the printer in Windows and check Use Printer Online), or the driver is outdated or corrupt (reinstall from the manufacturer website). Most offline errors are resolved by the first three steps.

Why does my printer keep going offline repeatedly?

Recurring offline status is usually caused by one of three things: the printer is entering deep sleep mode and disconnecting from the network (increase the sleep timer in printer settings), the printer's IP address is changing after each router restart (assign a static IP to the printer from the router's DHCP reservation settings), or a Windows feature called SNMP is misreporting the printer as offline (disable SNMP status in printer port settings). This means the printer has a valid network connection but the computer cannot communicate with it correctly. The most likely causes are: a stuck or corrupt print queue, the wrong printer set as default, an outdated driver, or the computer's firewall blocking printer communication. Clear the print queue first. If the issue continues, reinstall the printer driver and confirm your firewall is not blocking the printer's port (typically port 9100 for raw printing or port 631 for IPP).

My printer won't connect to my Wi-Fi network. What should I try first?

Confirm the printer supports 2.4 GHz Wi-Fi — most home printers do not connect to 5 GHz networks. Make sure you are entering the correct Wi-Fi password (it is case-sensitive). Keep the printer within 6 feet of the router during initial setup. If your router has a WPS button, use WPS for automatic pairing without entering a password. Third-party ink cartridges are generally safe to use physically — they will not damage your printer in most cases.
